Busyness Is Not The Same As Productivity

There's a strange badge of honour many business owners wear without questioning it: being busy. Ask someone how they're doing and "so busy" comes out almost automatically, worn like proof of success. In a recent conversation on my podcast, this exact habit got dismantled, and the reframe was more useful than I expected.

Some of the most convincing forms of avoidance don't look like avoidance at all. Tidying a desk, reorganising a bookshelf, vacuuming a room, these are all genuinely useful tasks, which is exactly what makes them such effective distractions from the one uncomfortable task actually waiting to be done. The busywork isn't wasted, technically, but it's still displacement, filling the hours with things that feel accomplished while the task that actually moves the business forward stays untouched. Constant learning falls into the same trap: absorbing information indefinitely feels productive, but without implementation, it's simply "shelf development," knowledge that never leaves the shelf to become results.

A remarkably simple exercise reframes how time actually gets spent: work out your target income for the year, divide it by roughly two thousand working hours, and write the resulting hourly figure somewhere visible. Before doing any task, ask honestly whether you'd pay someone else that rate to do it. Louis Swart, a business coach who's built and sold companies over three decades, described this test as the moment people realise how much low-value work they're quietly doing themselves, tasks worth a fraction of their actual hourly target, while the higher-value work waits.

A to-do list captures intention, but rarely reflects what actually happened. A simple hourly check-in, a chime, a quick note on what the last hour actually contained, tends to reveal a very different picture than the planned schedule suggested. Meetings run long, quick tasks stretch unnoticed, and hours disappear in ways that only become visible once they're tracked honestly rather than assumed.

Waking up with a hundred things to do usually means accomplishing thirty small ones and missing the single task that would have actually moved the business forward. Identifying the one task that genuinely matters, and treating everything else as secondary for that day, tends to produce more meaningful progress than a full list of minor completions ever does. Everything below that one task, especially anything worth less than your target hourly rate, is a candidate for delegation rather than personal effort.

Busyness feels like proof of hard work, but it's often just proof of avoidance dressed up convincingly. The businesses that grow aren't run by the busiest founders, they're run by the ones who've learned to tell the difference between motion and progress, and built the discipline to consistently choose the latter.
